SharePoint continues to retain its dominance as a preferred tool for working with documents, but it comes with a price – lack of compliance with key certifications that ensure the security and integrity of the documents it stores. One large investment firm knew it needed to implement an electronic archiving system that provided adhered to key archiving standards, but it wanted to continue to enable its users access to the SharePoint system they used on a daily basis. This is where Everteam came in.
One of the largest private investment firms managing and advising over USD 60 billion worth of assets. They perform the bulk of their content work using SharePoint, creating, managing and sharing documents related to the investment funds they deal with.
The company likes SharePoint, but it is not compliant with the NF42013 standard. The NF42013 standard deals with the implementation of an archiving policy that ensures the preservation and integrity of documents. It comes from the French Standardization Association (AFNOR), the French organization that represents France at ISO and CEN.
Although the electronic archiving system (EAS) is not certified NF 42013, the company is regularly subject to audits that they must transmit to the Market Authority. They did not want to stop using SharePoint but were looking for an archiving solution that could integrate with it and adhere to the NF 42013 standard.
The Everteam Solution
There were several important capabilities that drove the decision to use Everteam to meet the archiving requirements:
